We are looking for a passionate Office Lead to join our Global Workplace Services team for 1 years parental cover.

This individual will take a great deal of pride in ensuring the smooth operation of Spotify’s London office. As a part of the Global Workplace Services team, you will be in charge of keeping our space organised and operational, creating a fun and welcoming environment while delivering the best service possible in order to support Spotifiers’ needs and requests.

What you’ll do

Help to ensure all Spotifiers and guests are provided with excellent customer service. Also assist with all office related needs

Oversee office vendors to make sure they are delivering according to service agreements

Administrative tasks such as managing purchase orders, invoices, etc.

Develop and maintain an operational budget on a quarterly basis

Coordinate and maintain our food program with the food vendor

Support the on-boarding and off-boarding processes (e.g. Hello Spotify Day)

Develop relationships with internal GWS partners and assist with project based requirements on site (IT, Security, Design & Build, etc.)

Assist in managing seating changes, re-stacks, office expansions and team moves

Ensure Spotifiers receive excellent customer service, including monitoring and answering support tickets via the Jira Service Desk

Support event coordination along with supporting teams as necessary

Negotiate contracts independently and together with our legal and procurement team

Perform regular walkthroughs to make sure space is in order

Anticipate office needs and proactively address them

Support building management tasks

Build a strong working relationship with the landlords to ensure queries and requests are handled quickly and efficiently

Communicate clearly and effectively with management, vendors and other team members

Update internal communications pages with changes to our procedures or office guidelines

Who are you

At least 5+ years of working in office operations necessary

You are passionate about the workplace and customer service

You have knowledge about building management, including health and safety

Previous vendor management and budget forecasting skills

Ability to field a heavy volume of requests at once but never compromise quality

Ability to juggle competing priorities

You take responsibility to proactively tackle problems and get things done and you’re not afraid to put forward new initiatives or insights

Strong organizational skills and diligent

You love a collaborative, fast paced environment and are open to change

Strong communication skills

Can use Google Suite, JIRA, and Coupa is a plus

Fluent in English, both written and spoken
